Absolutely English Young Learners at Wrekin College, Summer 2019

Definitions

‘AEYL’ means Absolutely Young Learners Ltd.
‘Student’ means the person participating in the course.
‘You’ means the person signing the booking form.

Once your registration has been accepted by Absolutely English Young Learners Ltd. (AEYL), the following terms and conditions apply. Our acceptance is represented by the sending of our letter of confirmation along with the invoice. The booking of a place is regarded as your acceptance of all our terms and conditions.

Deposit and Payment

A non-refundable deposit of £300 is required at the time of booking. Full balance of fees must be received at least 6 weeks before the course begins, or at time of booking if less than 6 weeks before the start date. Please quote the student name and invoice number on all payments. All fees must be received before the course begins in order to guarantee the student’s place. All bank charges must be paid by you. The supplement for any extra services ordered and provided at the centre e.g. transfers, extra individual lessons, extra nights etc., must be paid for by you or the student in cash, by credit card or bank transfer before the student leaves the centre.

Prices

Prices are correct at time of going to print and are subject to change without notice.

Cancellations

If you have to cancel your booking you must inform us in writing as soon as possible. Failure to provide written notification will result in charges being incurred. Cancellation fees will be charged as follows:
• More than 30 days before start date, loss of deposit.
• Less than 30 days before start date, loss of full fees.
For enrolments online, the buyer is entitled to a cooling off period of 14 working days and the right to cancel free of charge.

Changes on or after the start date

No refund of course fees will be given if a student leaves before the end of the period of study, downgrades to a less expensive course, or is absent for any of the course unless due to exceptional circumstances.

Refunds

Any refund must be made in the same way and to the same source as the original payment. Fees paid by bank transfer must be refunded to the same account. Fees paid by credit card must be refunded to the same card. Any charges incurred in the refund process must be paid by you.

Changes to or cancellation of a course by Absolutely English Young Learners Ltd.

AEYL reserves the right to change or cancel a course, without prior notice or liability, in the event of low numbers.

AEYL shall not be liable to you or the student in the event that any service becomes impossible to provide due to circumstances beyond our control. These circumstances include but are not limited to, war, disease outbreak, natural disaster or terrorist attack.

In exceptional circumstances, in order to place students at their correct level, we reserve the right to slightly exceed the maximum class size. AEYL may also accept students who are marginally older or younger than our stated age ranges on the course and within specific age groups.

Visas

If a visa is necessary, AEYL will provide a visa invitation letter to support the visa application. We reserve the right to request payment in full before such a letter is provided.

If a visa application is rejected you must inform us in writing immediately. Failure to do so may result in charges being incurred. We will refund the full amount, minus any charges for courier services, bank charges or credit card fees, if notified in writing and on receipt of the visa refusal letter.

Travel arrangements

We recommend that you do not book flights or make travel arrangements until the course booking is confirmed. If the student requires an airport transfer please send through their arrival details as early as possible and at the latest 2 weeks before the start date of the course. It is your responsibility to provide us with the transport details, check transfer confirmations and to inform us of any changes.

Liability and Insurance

AEYL maintains those insurances as required by law. You should make sure that students have their own travel insurance cover before departure to cover medical and repatriation expenses, personal belongings and cancellations. AEYL acts only as an intermediary between its students and travel organisations. Unless and to the extent caused by our negligence, AEYL cannot be held responsible for any delay or accident during a journey.

AEYL reserves the right not to allow on the course a student suffering from any illness, medical condition, or mental or physical disability which has not been disclosed in the medical section of the Registration Form. We cannot be held responsible for any incident arising due to medical information not being provided.

The Medical and Welfare section on the Registration Form must be completed and emergency contact details provided at the time of booking. In the case of a disability or any severe medical condition/allergy, we will assess whether we can provide appropriate care in the school and the decision to accept the student will be based on this.

On arrival at the centre, students must hand in their pocket money, plane tickets, passport, insurance documents and any other valuables to the office for safekeeping. We do not accept liability for theft or loss of property in our safekeeping or in any other locations. We strongly recommend students do not bring unnecessary valuables.

All sports/activities/excursions are undertaken at the students’ own risk. AEYL does not accept liability for accidents or injuries except where its staff have been found negligent.

Medical

AEYL qualified first aiders will administer non-prescription medicine such as paracetamol and throat lozenges as necessary, unless you have advised us not to do so on the Registration Form.

We have access to a local medical practice and students are accompanied by a staff member. Students may be charged for consultations. In the case of an emergency, students are taken to the nearest Accident and Emergency department.

In case of illness or injury AEYL will follow the advice of the attending medical consultant/surgeon unless advised otherwise by you in advance. Every reasonable effort will be made to contact a parent or legal guardian before permitting treatment to proceed.

Further conditions specific to Young Learners (9-16 years old)

The safety and wellbeing of our students is our primary concern. Students who break British law, do not obey the school rules, who repeatedly misbehave, do not follow the instructions of the AEYL staff or otherwise disrupt or adversely affect the smooth running of the school will be asked to leave the school immediately at their own expense and without refund of fees.

Students are responsible for any damage they may cause and will have to pay the full cost of replacement or repair.

We reserve the right to confiscate any unsuitable items found in a student’s possession.

We reserve the right to search a student’s room and belongings in the event of suspected theft or any other reasonable circumstances.

All lessons, sports and leisure activities, and excursions are an integral part of the AEYL programme and learning experience and a requirement of the course you have chosen. If you do not wish the student to participate in any particular activity or excursion, please advise at time of booking along with your reason.

We reserve the right to take any fair and reasonable action we think appropriate should a situation arise not covered by these Terms and Conditions.

Photographs, Videos and Blog

AEYL may wish to take photos or videos of students for use in AEYL’s publicity or social media site including its blog. The blog is an excellent way for you to see what is happening at the school. Students’ personal identities will not be revealed. If you do not wish us to take photos/videos of the student and/or for these to appear in our publicity and/or social media, please tick the relevant boxes on the Registration Form. Your wishes will always be respected.

Data Protection/Privacy Policy

We use the personal information given by you to provide the student with a summer course and to fulfil our statutory duties. Our Privacy Policy at www.absenglish.co.uk/ explains in detail when and why we collect personal information about our students, how we use it, how we keep it secure and your rights in relation to it. Please ensure that you have read and accept our Privacy Policy before booking.

Governing Law

These are the only terms and conditions that can be referred to in the event of a disagreement between you or the student and AEYL. These terms and conditions are governed by English law and do not affect your statutory rights under English law.

Complaints

Any problem or complaint should be brought to the attention of the AEYL Management Team immediately so that a satisfactory resolution can be found. Should any issues remain outstanding following the course, any disputes should be sent to the agent or directly to AEYL within two weeks.
